Privacy Policy

This Privacy Policy explains how Wold & Wheel (“we”, “us”, “our”) collects and uses your personal information when you contact us or use our website, www.woldandwheel.co.uk. We are a small business offering Land Rover tours and vehicle hire in the Northern Cotswolds, and we keep the information you share with us to a minimum.

Who we are

Wold & Wheel is a small tour business based in Charlbury, Oxfordshire. For anything to do with your information, you can reach us at bookings@woldandwheel.co.uk. We are the data controller for the personal information you share with us.

What we collect

We only collect what we need to answer your enquiry and look after your booking:

  • Your enquiry. When you send an enquiry through the form on our website, by email, or by message on Instagram, we collect your name, your email address, the tour or service you are interested in, your preferred date if you give one, and whatever you write in your message.
  • Your booking. If you go on to book, we keep the details we need to arrange and run your tour, wedding hire or shoot, and to deal with payment.
  • Website usage. We collect limited, largely anonymous information about how the website is used, so we can improve it. There is more on this below and in our Cookie Policy.

How we use it

We use your information to:

  • reply to your enquiry and answer your questions;
  • arrange, confirm and deliver a tour, wedding hire or shoot that you book;
  • keep our own records of enquiries and bookings;
  • understand how our website is used so we can make it better.

We do not sell your information, and we do not use it for advertising.

Under UK data protection law, we rely on the following legal bases:

  • to take steps at your request before entering into a contract, and to perform that contract, when you enquire about or book a tour;
  • our legitimate interests in running and improving a small business and keeping sensible records, balanced against your rights;
  • your consent, where we ask for it, for example before sharing your photographs. You can withdraw consent at any time.

Who we share it with

We keep your information to ourselves as far as we can. To run the business we use a small number of trusted service providers, and only share what they need to do their job:

  • our email provider (Resend) delivers your enquiry to our inbox;
  • our website host (Bunny.net) serves the website;
  • our analytics provider (WildPress) helps us understand how the website is used.

Your enquiry and booking details are also kept in our own contact records and calendar, hosted on our own systems. We may share information where we are required to by law. We do not transfer your information outside the UK or Europe except through these providers, who handle it under appropriate safeguards.

How long we keep it

We keep enquiry and booking information for as long as we need it to deal with your enquiry and any booking, and for a reasonable period afterwards for our records and to meet legal obligations such as accounting. When we no longer need it, we delete it.

Your rights

Under UK data protection law you have the right to ask us to:

  • give you a copy of the information we hold about you;
  • correct anything that is wrong or out of date;
  • delete your information;
  • restrict or object to how we use it;
  • provide it to you, or another provider, in a portable form.
