Wold and Wheel – Series Land Rover Tours

These Terms and Conditions outline the agreement between Wold and Wheel (“we”, “us”, “our”) and the client (“you”, “your”) booking a tour with us. By booking a tour, you agree to be bound by the following terms.

Business Overview

Wold and Wheel offers guided tours, wedding vehicle hire and corporate, Hen and Stag tours in the Northern Cotswolds, UK, in a 1971 Series 2a Land Rover. Tailored for local insight and small group experiences.

Bookings

Bookings can be made by using the booking form on our website www.woldandwheel.co.uk or via messaging on our Instagram page.

Full payment is required to secure your booking. Your booking will only be confirmed once payment has been received and confirmed by email. The invoice must be paid in full within 14 days of issue.

Tour Group Sizes

Tour group sizes can range from 2-7 persons, due to legalities and the size of our vehicle. Rates for our full day, twilight and group experiences are published on our website.

Unfortunately, any child that requires a booster or car seat will not permitted to join a tour. Children must normally use a child seat until they’re 12 years old or 135 centimeters tall, whichever comes first. So unfortunately we are unable to accommodate children outside of these government guidelines. Any children joining us must be accompanied by an adult and you are responsible for the child using the provided seat belt. Our vehicle does have seat belts for all passengers and these must be used at all times when inside the vehicle. Children able to travel with us must be accompanied by a parent at all times. Your tour guide and other members of your booking cannot be made responsible for them.

Any persons arriving on the day of the tour who are not part of booked numbers, will be turned away if the tour is already full. 

If the tour is not full and we can accommodate, then we will happily admit said persons if safe to do so.

Pick Up and Drop Off Locations

Wold and Wheel have chosen Charlbury train station as a central location for pick up and drop offs.

If not Charlbury train station, your pick up and drops off can only be within the area our tours operate. This can be found in the tour map on the website. Only one pick up and drop off will be included in the price of the tour. Additional tour stops may be arranged however must be within the tour areas and be in reasonable distance to our location at that time. 

We kindly ask all guests to arrive on time for their tour. Tours start at the time stated, late arrivals may result in lost touring time and missing parts of the experience. To ensure all guests return at the scheduled drop-off time, we may adjust the tour route where necessary. Communication of a late arrival is essential via the booking email address or contact number provided. 

Your tour guide will only wait for 1 hour if you are running late and no contact has been made to update us. We then reserve the right to cancel your tour and no refund will be given.

Luggage and Accessibility 

Due to the size of our vehicle, we are limited for space. We work to a fully booked tour vehicle so luggage space will not be something in great amounts. Items of any luggage, including suitcases, musical instruments, children’s backpacks or pets will not be allowed on the tour. One rucksack, small handbag, camera bag etc is permitted per passenger. 

We will be unable to carry folding pushchairs or large mobility aids, for the same reasons.

Your tour guide will be more than happy to help you in anyway, however Wold and Wheel accepts no responsibility for loss, breakage or theft of any items you bring with you.

Again due to us working to a full capacity vehicle, larger mobility aids such as wheelchairs and frames, we regret, will not be able to be accommodated. 

Your Role

Please be aware of your own roles when touring with us. 

Be respectful to our your tour guide and to your other passengers. Seat belts must be worn at all times when in the vehicle. Parents are responsible for any children’s seat belts. 

Foul and abusive language towards your guide, other passengers, or indeed in general will not be tolerated.

Smoking or vaping will not be allowed in the vehicle. Cold drinks and soft drinks will be allowed to be consumed inside the vehicle, and perhaps a coffee in winter months.

In the event of any damage to the vehicle by not following these terms and conditions, a suitable fee may be added depending on damage caused and repair/cleaning costs. This will be sent to the email/contact details used to book the tour.

Your tour guide will absolutely have the right to cancel a tour, if passengers behavior is deemed to be disruptive to the tour. No refunds will be given. Wold and Wheel will not be held responsible for any fees incurred as a result.

Cancellations and Changes

Cancellations must be made in writing via email.

More than 7 days before the tour: Full refund.

2–7 days before the tour: 25% of the total booking cost will be refunded.

Less than 48 hours before the tour: No refund will be issued.

No-shows: Guests who do not arrive for their scheduled tour without prior notice will not be eligible for a refund.    

For Cancellations Made by Wold & Wheel

We reserve the right to cancel or reschedule tours due to unforeseen circumstances, weather conditions, or operational reasons. In such cases, guests will be offered an alternative date or a full refund.

In the event of a tour being cut short, we will issue you with a fairly adjusted refund amount, depending on time and amount of tour carried out. We will work on an hourly basis and however many hours are not ’tour’ hours, they will be paid back to you as refunded amount.

Wold and Wheel will not be responsible for, or give any compensation for any other expenses incurred as a result of a cancellation. We do recommend that you have private travel insurance to cover these costs, if required.

Our Vehicle

The vehicle you will be traveling in is a 1971, Series 2a Land Rover. The vehicle is insured and suitably licensed for the purpose of the business. It also has to be professionally maintained regularly by law to ensure it continues to be road worthy and safe. At no point will a tour go ahead if the vehicle is not safe for passenger use. 

We ask that you take care when entering and exiting the vehicle, and follow the tour guides safety advice. Mostly being mind your head and wear your seat belts!

While we take all reasonable care, we cannot accept responsibility for any injuries sustained during the tour.

In the unlikely event of a mechanical failure on a tour, if an alternative vehicle can be found in good time, the tour will continue. If not, a refund will be given as stated in the cancellations section of these terms and conditions.

Privacy

Of course Wold and Wheel want you to have a fantastic time on your tour. So we actively encourage you to take photos of what you see, our vehicle, the people you are with and the places you go. 

Your tour guide is more than happy to take photo’s for you on your devices. Sometimes, we can’t help but ask to share the photos you and our driver take for promotional material and our social media page.

At any point if you are not happy for us to use your material or photographs of your tour party, or be photographed at all then please let us know verbally on the day, or via our email address.
